COLORADO MUSIC EVENTS

SOLO & ENSEMBLE FESTIVALS and LARGE GROUP FESTIVALS

                    Music Advisory BELOW for Colorado Springs Area Music Directors     

 

Here are the current CHSAA dates for Large Group and Solo and Ensembles

 

The following are directions for entering festivals:

First time on the site: go to URL: www.festivalmanager.com/chsaa

On the front page, you will either click on “log in” or “register.” “Log in” is for those directors who are already registered with the system, while “register” is for the first-time user.  

When registering the first time, you will be asked for an access code. The access code is bert2007. Then add last name and first name. Click confirm, and fill out the form that comes up. (Red means this field is required) click on continue (please note: all login and passwords are case sensitive).

All directors, new or returning, should review their profile. Click Profile and update/add the appropriate information to ensure that you are listed under the appropriate school, with correct contact numbers and addresses. If you have changed schools, you can remove the old profile and enter any new information.

For Solo & Ensemble

Once you have logged in and are in the system, you may add or remove schools from your profile by using the choices above the solid line that says ”Schools Associated with Your Profile.” If you need to add a school, click on add a school and then on the appropriate alphabet letter to get to the school you want to add. Once you have added the appropriate school(s), click on “add Checked Schools” and then Back. (To remove a school associated with your profile, click on the remove checked school.)

If you have a need to update the information in your profile, click on Edit Your Profile. From here, you can edit your school, address, phone numbers, e-mail address and password. After you are done, make sure you click on Update, then Back to return to the Profile screen.

The next step is to click on School Roster Admin. You will type in the students’ names you are going to enter in the festival. Please note: This is a school roster, not an individual director’s roster. If you are the band director and you share students with the orchestra or choir director, only one of you will need to enter those students’ names.

To add a new student, click on the line that reads >>create a new student. When you add the student's name, click create (the student's name will be added automatically). Continue to add students until all are in the system. (Note: If you see kids from last year, you can keep them or delete them, it does not matter for registration.  If the students have graduated or transferred, you may want to delete them from your roster.).

Once the school roster is set, then click on Accompanist and add whatever accompanists you have. (Warning: the more students your accompanists supports, the less flexibility the site director has in scheduling your students.)

Once the accompanist is entered, then click on Registration. Select the festival you are going to enter and click on that name. Your Entry Form will pop up. Then select >> create new entry form (right below the words Entry Form) and then click on Create so that the system creates the form for you.

You then need to click on >>add soloist (or ensemble) (located below and right of the special instructions box). You then fill out anything that is highlighted in red (must have that information and you must set your computer to allow pop-ups for this session) and fill out any other item you feel is needed. Click Create again. Click the Back button. Then click Add Soloist to add additional students. Once you have finished entering all your students, click the Submit button. That will send your entry in. Please note: You can enter all solos on one solo form and all ensembles on one ensemble form.

Once the entry form is submitted, click on >>print entry form and send that, along with payment to the site director. Once you have hit the Submit button you are entered in that festival. If you need to add additional entries, you go through the same process, but when you go back in, click on the entry form number and repeat the entry process for adding soloists or ensembles. Your entry will automatically update with that information. You may add entries up to the entry deadline date. Any additional entries after the deadline must be on a new form and approved by the site director and the CHSAA office.

 

To enter your ensembles, you will follow the above directions until after you have clicked on the “Create an Entry Form.” When Entry Form: Solo & Ensemble – Both comes up, next to the line that reads Type, click on the ensemble bubble and then click on Create. This creates the ensemble entry form. You will then proceed to entering your ensemble/students just as you did on the solo entry form. You may put all ensembles on this form, by clicking on add >>Add Ensemble and Create until all the ensembles are entered. After all your entries are in, click on Submit and your students will be entered. You should print out the entry form and send it, along with payment to the site director.

For Large Group Entry

Follow the steps above until you have finished with your School Profile. You then can go directly to Festival Registration. Click on the large group festival you wish to attend. Then, click on >>Create a New Entry Form. When the new form comes up, you then click on >>add group (located under the special instructions box to the right). When the new form comes up, fill in all information in red (mandatory) and any in black you feel is appropriate. Click on Create after you have finished entering the first group. Click on >>add group and follow the instructions above for each group you wish to enter. Once you are set with your entries, click on Submit.

Once you have clicked Submit, the following will come up: “In order for your entry to be completed, you must provide the e-mail address of the school administrator or accounts payable person to assist our efforts in maintaining accurate records” followed by a box that requires you to put in an e-mail address for a school administrator or accounts payable person in your school/district. You must have the e-mail address of an administrator of accounts payable person to put in this section before the entry is complete. (You must set your computer to allow pop-ups for this session).

Note: an e-mail will be sent to this address informing them of the entry. A reminder from this office can also be sent to the director and administrator/accounts payable person if payment has not been received by the appropriate date. Late payment does not preclude your group(s) from participating. It is only an accounting procedure to ensure payment for participation.

If you need to add additional large group entries, you go through the same process, but when you go back in, click on the entry number and repeat the entry process for adding groups. Your entry will automatically update with that information. You may add entries up to the entry deadline date.

You must then print the entry form (upper right), send that document and payment to the CHSAA, 14855 East 2nd Ave., Aurora, CO. Once you have hit the Submit button you are entered in that festival.

RE:  Options for your school

 

In an effort to assist middle and elementary schools with challenging calendars, the Colorado High School Activities Association and the Pikes Peak area festival hosts would like you to be aware that there are two festivals that the elementary and middle schools in the Colorado Springs area may elect to attend. The following provides the dates of the two festivals and the suggested participants, but remember you may elect to attend either one if the schedule works better for you at one more than another.
